Mailing Labels

You can create mailing labels in two ways:  within the Online Mooring product, and by exporting data to Microsoft Word and creating the mailing labels there.

Online Mooring Method

1)  Use the Application Search page to create a list of applications.  You will end up generating one mailing label per application.

2)  Once you have your search results on the Application Search Results page, click the "Communicate" button at the bottom of the page.

3)  Click the "Open Template" tool, and select the "Avery 5160/8160 Labels" template.

4)  Click the "Generate Labels" tool.

5)  When the labels appear, click the Print button in your browser.

Microsoft Word Method

Products like Microsoft Word do an excellent job of creating labels, and Online Mooring can export data to products such as Microsoft Word so that you can create the labels that you want.  Here is a step-by-step guide:

1)  Use the Application Search page to generate a list of applications.  You will end up generating one mailing label per application.

2)  Once you have your search results on the Application Search Results page, click the "Export" button at the bottom of the page.

3)  On the Export Results page, click the "Applications" link.  Depending on how your machine is configured, you will see one of the following:

  • You will be asked whether you want to Open or Save the file.  Choose the Save option, and indicate where you want to store the data.  You'll need to remember where you stored this data later on.
  • The data may open automatically in a program such as Microsoft Excel.  If this happens, use the program's "Save" feature to store the data.  You'll need to remember where you stored this data.

4)  The rest of these instructions assume that you will create your mailing labels using Microsoft Word 2007:

  • Click the "Mailings" tab.
  • Click the down arrow next to the "Start Mail Merge" icon, and then select the "Step-by-Step Mail Merge Wizard" option.
  • When you are asked for a document type, select "Labels" and click the Next link.
  • When you are asked to select a starting document, choose the "Use the current document".
  • When you are asked to change the document layout, click the "Label Options..." link and choose the appropriate label size that you are using.  Then click the Next link.
  • When asked to select recipients, choose the "Use an existing list" option, and click the "Browse..." link.  In the "Select Data Source" window, choose the "Text Files" option next to the File Name field.  Then find the file that you saved to disk above and double-click on it.   This will bring you to the "Mail Merge" recipients window, where you should click the "OK" button.  Then click the "Next" button.
  • When you are asked to arrange your labels, click the "Address Block..." link.  On the "Insert Address Block" window, click the "Match Fields" button.  Since Online Mooring allows you to enter two mailing addresses for each person, you have two options for matching fields:
    • Option 1:
      • "Mailing Street" for Address 1
      • "Mailing City" for City
      • "Mailing State" for State
      • "Mailing Zip" for Postal Code
    • Option 2:
      • "Local Street" for Address 1
      • "Local City" for City
      • "Local State" for State
      • "Local Zip" for Postal Code.
  • Click the "OK" button.  On the message box that tells you about unique identifiers, click Yes.  Then click OK on the "Insert Address Block" window.    Then click the "Update all labels" button.  Then click the Next link.
  • When asked to Preview your labels, click the Next link.
  • When asked to Complete the merge, click the "Edit individual labels" link.  Select the option to Merge "All" records and click OK.
  • You can now print or save the mailing labels.
