Import

OnlineMooring allows you to import data that you have in electronic form, so that you don't need to re-type the information into our database.

On this screen, you can specify the type of information that you want to import, and the name of a file containing the data.

Fields

Import Type - There are currently four types of files that can be imported into OnlineMooring.  They are:

• Permits.  This import allows you to load in all of the information you have about permits, including associated information about permittees, boats, and moorings.  This import allows you to add new information to the database - it does not allow you to update existing information.
• Actions.  This import allows you to load in information about actions performed on a permit, such as charges, permits issued, etc.  This import expects that there will be a reference in your file to an existing permit.
• Inspections.  This import allows you to load in information collected during an inspection (such as the position of the mooring, and other comments).  This import expects that there will be a reference in your file to an existing mooring.
• Payments.  This import allows you to load in information about payments that have been made against existing permits.  This import expects that there will be a reference in your file to an existing permit.

Import File - You can choose a file to import.  Only some files can be imported.  To be imported, a file must:

• Be in a comma-seprated value (CSV) format.  This is a common format that many software packages (including Microsoft Excel and Microsoft Access) can create.  If you were to look at this type of file in a text editor, you would see each record (permit, action, inspection) on a separate line, and each data item surrounded by double quotes and separated by commas.
• The CSV file must have a header row that provides column names for each of the columns in your file.
• You have some flexibility in what columns you can have in your CSV file, because the next screen (Import Instructions) allows you to map your CSV fields to OnlineMooring database fields.  So you can have columns that are ignored during the import process, and the order of your columns does not matter.  Each import has certain minimum fields that need to be present in order to import properly.  These fields are:
  
  • Permits.  There must be a field that contains a unique Permit Number for each permit.
  • Actions.  There must be a field that contains an existing Permit Number for each action.
  • Inspections.  There must be a field that contains the name of an existing mooring.
  • Payments.  There must be a field that contains an existing Permit Number.
