Application Type Name - this is the name of the Application Type that will appear on the Home Page.
Description - This text will appear on the home page, to provide additional information to the boater about the purpose of this application.
Hidden - If you check this box, this application type will not appear on the home page or on the dashboard. This is useful if you are no longer processing this application type, or if you are not ready to process this application yet.
Request Type - This indicates whether this is a transient application, or a longer-term application.
Resource Type - This indicates what type of resource is assigned to a boater through this application. This is only used when a boater is doing a transient search across multiple harbors for a particular type of resource, such as a mooring.
Ordinal - This controls the order in which the application types will appear on the home page and on the dashboard. The lowest number appears first and the highest number appears last.
Default Instructions - these are the instructions that will appear on all application and renewal forms for this permit type, unless you override the instructions for specific situations (see below).
Default Terms - these are the Terms & Conditions that will appear on all application and renewal forms for this permit type, unless you override the Terms & Conditions for specific situations (see below).
Max Under Review Apps - If you want to limit how many applications a boater may submit, enter the maximum number of applications here.
Max Active Apps - If you want to limit how many applications a boater may have that are active (not expired, canceled or rejected), enter the maximum number of applications here.
Berth Type - If this application should only be assigned to a specific type of berth, enter it here. This will limit the list of berths that appear when you try to link to a berth, or view a berth calendar for this application type, or view the usage meter on the dashboard.
Berth is Temporary - Check this box if this resource only exists while the application is approved or in the process of being renewed. If you check this box, we will add an "Installed" action on the berth when you approve the application, and a "Removed" action on the berth when the application becomes inactive. This is useful for moorings. This should not be used for "permanent" berths like slips, docks, etc.
Inspection Required - Check this box if the berth associated with this application is subject to an inspection program.
Hide Usage Meter - Check this box if you don't want to see the usage meter on the dashboard for this application type.
Anytime Renewal - Check this box if you'd like boaters to be able to renew at any time while their application is approved, rather than during an official renewal period. No "Renewal Allowed" action is required during the approval period.
Allow Cancel by Applicant - Check this box if you'd like boaters to be able to cancel their application at any point when it is active.
Allow Absence by Applicant - If you'd like boaters to be able to notify you when they won't be using the resource assigned to them, choose one of the values here. The values are:
- None. If you choose this option, the boater will not have the option to report that they are away.
- Enter Dates. If you choose this option, the boater will be able to report when they are away. They will be able to enter the date they are leaving and the date they are returning.
- Enter Dates and who can use the berth. If you use this option, the boater will be able to report when they are away, and will be able to specify the e-mail address of someone who they'd like to be able to use the berth while they are away.
Auto Email - If you'd like e-mails regarding this application type to be sent from a different e-mail address than the e-mail address listed on your home page, enter that e-mail address here. Then, when sending an e-mail manually, in the From drop-down list, choose the "Application Type Email". When sending an e-mail using a Task, in the From drop-down list, choose the #AppType# option.
Max Vehicle Applicant - If your application allows the entry of information about vehicles, specify the maximum number of vehicles that can be entered by the applicant. If there is no limit, enter a value of 0.
Max Vehicle Provider - If your application allows the entry of information about vehicles, specify the maximum number of vehicles that can be entered by an administrator. If there is no limit, enter a value of 0.
Submit Type - If you want applicants to review all information on an application before submitting, choose the "Normal" option. If you'd like to have a streamlined renewal process where the applicant doesn't need to review the application before renewing, choose the "Express" option. If you'd like to ask the applicant whether they want to review the application, choose "Prompt".
Sticker FIelds
Some of our clients send out stickers to boaters, to affix to their vessel or berth to demonstrate that they are approved. These stickers often have a number printed on them. If you'd like, we can assign unique sticker "numbers" to each application when you approve them. These numbers would correspond to the sticker numbers that would be mailed out to the applicants.
Sticker Field - There are different ways that stickers are used, and we put the sticker number value into a different place in our database depending how the stickers are used:
- Berth Sticker Number - if the sticker will be placed on the berth, and there is only one sticker that will be placed on the berth at a time, and there is some other identifier on the berth (such as a mooring number), use this option.
- Berth Number - if the sticker will be placed on the berth, and there is only one sticker that will be placed on the berth at a time, and there is no other identifier on the berth (such as a mooring number), use this option.
- Vessel Sticker Number - If the sticker will be placed on a vessel, and there is only one sticker that can be placed on the vessel at a time, use this option.
- Application Sticker Number - If more than one sticker could be placed side-by-side with another sticker on the same object, use this option.
Sticker Number Pattern - This specifies how we will generate a value to put into the sticker number field. You can use one or more mail merge tags to insert values into the sticker number field that you've chosen. Here are the mail merge tags that you can use:
- #NextNumber# - This will insert the next available sticker number
- #Year# - This will insert the current year
- #Date# - This will insert the current date
- #Time# - This will insert the current time
- #RandomShort# - This will insert a random 8-character long alpha code
- #RandomLong# - This will insert a random 50-character long alpha code
Here are some common examples of how these mail merge tags can be used:
- #NextNumber#. This is the most common value to put in this field. This will simply put the next available sticker number into the field.
- #Year#-#NextNumber#. This is another common variation. This will create a sticker number value that is a combination of the current year and the next available number, such as "2018-1234". This way, you can easily look at a sticker number to see which year it was generated.
- AT1-#NextNumber#. This is another common variation. This will create a sticker number that is a combination of some text that indicates what type of application this is (in this case we types AT1, but you could change that to anything you'd like) as well as a sticker number. This could generate a value like "AT1-1234"
# of Digits - This specifies the maximum number of digits that there can be in the sticker number. This controls how the #NextNumber# tag works. If the next available sticker number has fewer digits than the maximum, we will put leading zeros in place to make the sticker number the right length. So, if you have a maximum number of digits of 4, and the next available sticker number is "12", then we will put "0012" into the sticker number field. This makes it easier to search for a specific sticker number, because if you searched for "12" you'd find "12", "123", "124", "125", "1212", etc. But if you search for "0012", you'll only find this specific application.
Next Sticker Number - This is the next sticker number that will be assigned.
Reset Month - If you use the same range of sticker numbers for each time period when you approve boaters, you'll want to reset the "Next Sticker Number" back to the minimum value before approving anyone for the new period. If you specify a month here, we will automatically reset the Next Sticker Number back to the minimum value on the 1st day of that month.
Min Sticker Number - When we reset the sticker numbers, we will change the Next Sticker Number to the value specified here.
Max Sticker Number - Enter the maximum sticker number that you have available. If you try to approve an application of this type, and the Next Sticker Number is greater than the max sticker number, you will get an error message saying that you can't approve the application until you get more stickers. This can also be useful if there are a limited number of resources available, and you want to make sure that you don't approve too many applications for the resources you have.
Phases
During the Application Lifecycle there are different phases, and you can make the application appear differently during each phase. The four most important phases are: Wait List Application, Wait List Renewal Application, Permit Issuance Application, and Permit Renewal Application. If you click on the Edit button next to any of these situation names, you will go to the Permit Type Situation page to provide additional configuration settings. If you click the "View" button next to a situation, it will show you a blank permit application that will be generated in this situation based on the configuration for that phase.
